Officer's Summit 2011 Summary

-Student Organization Finance Seminar-
*must communicate with Student Life before you spend money
* DO NOT
-don't spend money you don't have
-don't try to transfer money from a campus account to an off
campus account (anyone who does is liable to pay taxes on it)
-don't purchase alcohol, fuel, tobacco, or gift cards
(gift cards can be purchased from businesses who do not
supply alcohol or tobacco)
* You Can
-pay for campus services
-awards, scholarships, and prizes
-contracts and performance agreements
-insurance
-procurement and purchasing needs
-purchase equipment and supplies
-reimburse for travel such as university business or tournaments

Side Notes
-all dues deposited are University Money (tax reasons)
-all non-consumable property belongs to MST
-must provide inventory and location
(including fundraising and dues)
-to buy club t-shirts, bring and invoice and signature from the
department (I didn't catch which department)
-need 45 day notice if hiring a performer/lecturer
-procurement always goes to lowest big, by policy
-cash awards are NOT allowed for anyone Working for the
University
-$100 reimbursement maximum from travel expenses
(gas and food are exceptions, must be filed within 30 days)
-need forms before Rentals/Catering or MU has no obligation to
pay
-University Purchasing cards cannot leave the Rolla area

*also* i asked about some questions we had
-sale of club items is ok as long as it goes back into our University
account (people do it all the time selling t-shirts)
-Prizes are ok (i.e. tournaments), just need a student ID for
records
-Events can be public, and University might even pay for visitor
lodging. But has to be in the budget.

-Risk Management Seminar-
*an event is official if:
-organization funding is used
-was planned by the organization
-significant number of members present in relation to membership
(basically if half of us goes to war, it is official)
-if officers are involved/present

*waivers only confirm that the person knows there is risk involved,
and they may not stand up in court. But without, the club takes
full liability

*legal suits can be valid if it is found the club was negligent

*Duty of Care
A person must act towards another with
-watchfulness
-attention
-prudence
-& care
such that a reasonable person in the circumstances would
If NOT, then they are considered Negligible
(example: If we kick someone who is drunk out of a party and don't find them a safe way home, if anything happens to them we are fully liable.)

*Travel
-limit van capacity to 10 people
-max speed of 65mph
-no roof racks or trailer hitches
-leave an itinerary with Adviser
(I talked to Mrs. Leach, she suggested it might be a good idea to rent vehicles if we are going to an event. Then the insurance would be covered and no one person would be liable. Also we could get a larger vehicle and not have to drive multiple cars.)

*Drunk Driving
-legal limit is .08, this means you can lose your licence
BUT the true limit is 0.0, if you have an intoxication above that and are subjected to an accident even if you are at no fault, you will still assume full liability.
